Search an IDP

Search for an IDP in ebs: ontrack Hub by the learner's name, date of birth, IDP status, and so on. You can then view the details for an existing IDP, create a new IDP, or import an IDP for the selected learner.

Search for a learner as follows:

  1. On ebs: ontrack Hub, go to IDP and then select or enter the search criteria. For example, enter the learner's forename such as Helen.
  2. Then, select Actions to perform one of the following actions:
    • Create a new IDP.
    • View an existing IDP. Lets you scroll through the screens of the IDP, or change tabs to see the Learner Details.
    • Edit an existing IDP. Note that this is only available if you have been assigned to the IDP. After making changes you must to go to the final page of the IDP report and select Complete for Submission.
    • Import an IDP. Upload an xml file with IDP details. Note that this overwrites any existing IDP details for the learner.
    • Export an IDP to an XML file to be sent to a local authority or further education institution.
    • Assign a staff member to manage the IDP.
    • Cease an IDP. Note that this action is only available for IDPs with a status of Submitted.
    • Pause an IDP.

Search Criteria

Find IDPs using the information of the IDP, such as names, status, dates of birth, and so on. You can use partial search terms to find learners. For example, searching for the forename Helen shows learners with the forename Helena. Search criteria are connected using the AND operator.

Learner Name Forename and surname of the learner, such as Helen Smith.
Learner Person Code Person code such as 5809.
IDP Status Status of the IDP, that is Pending, Submitted, Not Started, Ceased, or Paused.
Date of Birth The learner's date of birth, such as 26/09/2007.
Review Target Date Target date of the IDP review, such as 29/07/2025.
Return learners assigned to me Filters the search results to only show IDPs that have been assigned to you.
Return Learners with IDPs approaching or past the review target date Shows learners with IDPs that are approaching or past the target date for review.
